One operational plan, distinct fleet responsibilities

Outside haulers help cover demand, but their trucks still have an owner and their work still has a settlement responsibility. A shared board is useful only if those distinctions survive from the assignment to the ticket and office review.

HaulGrid supports company trucks and subcontracted hauling within its dispatch workflow. Company and Fleet Partner allocations organize capacity, and assignments consume that capacity under committed-load protections. Changes to unused planning capacity do not authorize removing work that is already committed.

Coordinate access without opening the whole tenant

A subcontractor business record and a Fleet Partner user relationship are not the same thing. Keeping a hauler in Master Data does not automatically give that hauler access to all customers, tickets or company equipment.

HaulGrid applies tenant permissions and Fleet Partner scope to the appropriate workflows. Outside users can be limited to their allowed fleet context, while authorized office users retain the broader planning view. Driver workflows remain focused on assigned work and ticket capture rather than tenant-wide administration.

Use load evidence to support review, not assumptions

The office needs to identify which truck performed the work and review the associated ticket facts. A familiar hauler name should not substitute for the customer, job, material, quantity and unit needed for a trustworthy financial handoff.

HaulGrid connects submitted ticket evidence to office review and eligible invoicing or settlement work. OCR can assist entry for image tickets, but exceptions still need review. Duplicate questions and missing context remain visible rather than becoming silently payable loads.

Keep customer billing and hauler settlement separate

The customer agreement and the hauler pay agreement answer different questions. HaulGrid supports settlement-ready work for drivers, subcontractors and Fleet Partners without assuming that customer invoice amounts are automatically the correct pay amounts.

Committed financial records remain protected from later operational edits. In a demonstration, follow one mixed-fleet order through assignment, ticket review, customer billing and the relevant settlement workflow. Ask what each user can see and what happens when an unused allocation changes after some loads are already committed.
